“ERP” is an acronym for “Enterprise Resource Planning” and is a generic industry term for integrated suites of business systems (such as payroll, HR, and finance systems).  Workday became Yale's ERP for human resources, academic, and payroll business processes as of July 2015,  It will become Yale's ERP for financials in July 2017.

Yale is in good company with Brown, USC, Carnegie-Mellon, Cornell and Georgetown and has joined these schools on Workday’s Higher Education Strategic Advisory Board. This Advisory Board will guide the design and features of the higher education version of Workday. 

Workday is supported by most internet browsers, including Internet Explorer, Google Chrome, Mozilla Firefox and Safari. For those who need to use older versions of IE (e.g., Darcy or IRES users), you will need to use Chrome, FireFox or Safari to log into Workday. 

There is misinformation going around that states you can install an add-in for IE8 and then use IE8 to access Workday - this is not a solution, the add-in will prevent you from getting into Darcy or IRES.

Workday can be accessed from a PC, Mac, iPhone, Android, iPad, tablet or any mobile device with an internet connection. If you receive a browser error message, please contact the Help Desk at 203-432-9000.

Future State FAQs

The existing Data Warehouse will continue to exist for the foreseeable future. It will serve as the repository for financial data and reports through the implementation of Workday HCM, Payroll and Financials. Post-implementation, the Data Warehouse will exist for historical reporting purposes as access to data becomes available directly from Workday.

Supervisory Organizations group employees into a management hierarchy and are a required foundation for Workday HCM (Human Capital Management). They provide the structure for how faculty and staff are organized, how HR business processes are enabled, and how HR data is connected in the system. Supervisory Organizations are not used to manage finances and financial responsibilities; these are addressed primarily through Cost Centers.

Workday gives individuals greater control over their personal information through 24/7 access to information over a secure network. All employees can access their personal data from any computer or mobile device with internet access. This self-service functionality allows employees to update their personal contact information, view pay slips and pay deductions, view and update benefits when appropriate, access directory information, and provide access to additional HR information.

In Oracle, organization refers to the “O” in PTAEO and Yale’s Organization Hierarchy. In Workday, the term organization is a basic building block for managing information that is both financial and non-financial. Organizations can be organized into hierarchies and enable reporting at different levels in the hierarchy. Roles and security can also be assigned to any level in the organizational hierarchies. Examples of Workday delivered organizations include Cost Center and Supervisory Organization.

Employees request leaves of absence in Workday, while requesting paid time off (PTO, vacation time, etc.) and time tracking is still completed in My Time (Kronos). 

Until March 2016, the Workday@Yale team used the term Financial Data Model (FDM) to represent the Workday Chart of Accounts, the full Workday data structure and individual segments of the chart of accounts. This terminology has been clarified and is included on the Chart of Accounts website.

Today at Yale, the Oracle chart of accounts (or ‘Charging Instructions’) is made up of multiple segments commonly known as the ‘PTAEO’ (Project, Task, Award, Expenditure Type, and Organization). When we implement our new Workday Financials system we will shift to using charging instructions made up of multiple segments that are specific to the Workday system. Banner, Yale's Student Information System, continues to be the system of record for students' personal information. However, Workday is the system of record for student employment data. Students who work at Yale are able to do things in Workday such as view their pay slip and set up direct deposit.  

Contact information and organizational information is accessible to view by anyone at Yale with access to Workday. Managers and those with HR roles have further access to view job-related information.

General Program FAQs

The Workday@Yale Program is sponsored by Finance & Business Operations (F&BO) and HR leadership. The Program is advised by a Steering Committee comprised of Yale administrative and academic leadership from the Provost, Information Technology, Human Resources, Finance, Change Leadership, and Business Offices.

The team also includes technical and functional HR, Finance, and Technology experts from throughout Yale, as well as advisors from Deloitte Consulting, our implementation partner. While Yale is leading the Workday@Yale implementation, Deloitte is working alongside us to supplement our Program activities in a variety of areas. 

  • Engage the right people in the right way throughout the Program
  • Participate in Workday’s “Strategic Advisory Program,” in order to advance its direction based on Yale’s best interests
  • Include members of the Yale community in the Program by:
    • Communicating early and often to ensure that Yale faculty and staff are aware of the objectives and implementation status of the Program team, as well as to understand how they can become involved
    • Leveraging community opinions and feedback to shape the Program and improve the overall quality of the implementation        

The Program team is facilitating a series of working sessions with representatives from HR, Benefits, Finance, Computing Services and the Yale community (a cross-section of representatives from the academic and business units). Additional subject matter experts (i.e., Recruiting, Legal, ISO, etc.) are providing recommendations as well. The objective of these working sessions is to review Yale’s current operating model across its processes, organizations and technology. Understanding existing challenges in those areas allows us to inform key improvement opportunities to optimize and support the new model. 

The Workday@Yale Program is a multi-year implementation originally launched in July 2013. The Program completed the Human Resources, Academic, and Payroll Go-Live of Workday functionality on July 1, 2015. The Program is now moving forward with ongoing implementations and optimizations as Yale prepares for its Workday Financial functionality roll-out, scheduled for July 2017. 

The Workday@Yale Program will continue to engage the Yale community in several different ways: auditorium sessions, email, functionality update communications, and program resources posted on the workday@yale website.

Yale’s current administrative systems are functionally and technically dated, and they are becoming increasingly difficult to adapt to today’s business and compliance requirements. Additionally, Workday provides Yale opportunities to simplify the way work gets done, reduce administrative burdens, standardize processes, lower operating costs and improve effectiveness.

Workday offers a simplified service delivery model through packaged solutions and integration tools, as well as the ability to deploy integrations to the Workday Integration Cloud. Workday is also the only unified, global HCM (Human Capital Management), Payroll and Financial Management solution delivered in the cloud that is designed with the needs of higher education in mind. Workday offers the optimal solution to support Yale's business processes and requirements.

Yale's legacy systems are customized to respond to the unique needs of each school or administrative unit, which adds a layer of complexity that must be addressed whenever system updates and/or changes are required. Workday offers configurable frameworks that can be modified and extended but prevent changes from being made to the system that will disrupt Workday's ability to offer updates in the future. Unlike customization tool-kits typically offered by traditional ERP solutions, Workday requires no coding, eliminating the need to involve programmers. This allows us to easily modify the look and feel of the application and will position our organization to make changes and upgrades more readily in the future.

Workday offers a configuration tool that helps define organization-wide business processes. The design sessions assess the current state business operations to determine if there is a Workday Functional Area to support these high-level operations. Inputs to the sessions include current state business processes, pain point themes and solutions. Representation and feedback from all workstreams is critical to developing a solution that considers all stakeholder groups.

Yale ITS and the Workday@Yale program team have identified systems and applications impacted by the transition to Workday. The program team is actively working to provide necessary information for system owners of impacted systems to remediate systems for implementation of Workday Financials. Impacted systems contacts, including System Owners and Lead Administrators, have begun planning for adjustments their systems will need to make, with testing to begin in January, 2017.

Every supervisory organization is headed up by an manager. All staff in that supervisory organization report to that manager.  Anyone who has employees reporting to them has the Workday role entitled "Manager." The role is not related to an employee's business title.

Workday's Manager Self-Service provides supervisors with relevant job, position and compensation information about their team. This includes access to reports with team information supporting HR-related, and eventually, finance analytics.

Workday utilizes ‘Worktags’ to classify data related to people, financial or location information. One way to think of ‘Worktags’ is similar to the use of #hashtags on some social media platforms. Hashtags enable you to search large repositories of data, in this analogy, social media posts, to identify related posts that have used a certain hashtag. These are described in detail within our Core Concepts Worktags slide.

Personal information includes your contact information, required IDs, benefit elections, and payroll information (i.e. work location, federal tax information, direct deposit, social security number, and emergency contacts, etc.). 

VPN and CAS log in are required to access Workday.
