Top Tips for Workday Users

  1. Most tasks that you initiate but don't or can’t submit can be cancelled or deleted from your Workday Inbox.  Open the task in your Inbox, click on the gear wheel icon in the upper right corner, then click "Cancel" or "Delete." Then, click “Submit” to finalize the action.
  2. There are two ways to open a second tab in Workday while leaving the first tab unchanged:
    1. right click on any actionable item (blue font) and choose "See in New Tab"
    2. hover over any actionable item (blue font) and click on the roller ball on your mouse
  3. Use search shortcuts.  Type a question mark in the search box and then press "Enter" on your keyboard.  You'll see a list of search shortcuts you can use to narrow down your search results.
  4. Manager is an assigned role, and departments have the ability to assign roles.  One simple way to change the manager of all employees in a supervisory organization (as detailed in the Managing Roles guide) is to assign the manager role to the incoming manager for that supervisory organization, and then remove that role from the outgoing manager for that supervisory organization.
  5. Quickly search for someone in Workday by typing their NetID in the search box then pressing "Enter" on your keyboard. 
  6. Workday doesn't automatically terminate anyone, even if they have an end date on their record.  Take action to terminate an employee or they will continue to be active.
  7. One-time payments for any Yale employee can be initiated by anyone with the One-Time Payment initiator role.  It does not have to be initiated by the employee's home department.  When assigning this role to someone who doesn’t already have it, make sure to enable it for the Yale University (Salovey, Peter) supervisory organization.
  8. Users can create a job requisition for an existing position with a different job profile than that assigned to the current or former incumbent.  Every time you create a job requisition and choose to create a new position instead of using an existing position, you are adding to your headcount and preventing roles from being automatically passed from an incumbent to their replacement.
  9. You can upload your own profile picture using the "Change My Photo" task.  Follow the guidelines so that your submission can be quickly approved.
