Portfolio Report, formerly known as Account Holder Report |
Provides budget, actual expenses, commitments, and projected remaining balances for all accounts related to a faculty member or other account owner. Similar to other reports, it can be scheduled in advance and sent to a user’s "W drive" in Workday. | |
Position | A seat to be filled by employee. The position appears in the supervisory organization with a generic title and short description. Vacancies appear in a manager's supervisory organization and remain as an unfilled position until they are either filled or closed. | |
Position Management | One of three staffing models available to use in Workday. Position Management provides the greatest control over hiring, as you can specify different staffing rules and restrictions for each position. | |
Pre-Hire | Each person in Workday has both a Pre-Hire record and an Employee record. A STARS integration creates the Pre-Hire record for staff and temporary/casual employees. | |
Primary Business Object | When defining a report, the primary business object is the business object returned by the data source. | |
Primary Compensation Basis | Both Total Base Pay and Primary Compensation Basis will equal an employee's salary. You will not be able to edit these fields. | |
Prompt (reporting) | A Report Writer report can be defined so that it prompts the user for filtering criteria when they run the report. Report prompts can also be "built in" to a data source. | |
Rank | Faculty members can be differentiated in Workday by various fields, including rank. Faculty rank allows promotions to be tracked throughout an appointment, but only ranks associated with the appointment track type may be selected. If a rank is inactivated, it cannot be assigned to new appointments, but it continues to be reflected in historical reporting. Rank Order determines the order in which the options for the Rank field display in prompts. | |
Requester, formerly known as Initiator | A person authorized to request the procurement of goods or services or other type of financial transaction, who may or may not prepare and submit the actual transaction in Workday. | |
Requisition Worktag Template, formerly known as VIP Number (shortcut for Oracle PTAEO) | A shortcut for charging instructions available for Requisitions that allows users to rename a Worktag. | |
Roles | Roles determine what you can see and what you can do in Workday. Roles provide individuals access to appropriate data within the assigned organizational structure. They determine functional responsibilities and the routing of actions in a business process. | |
Security Group | A security group is a collection of users, or a collection of objects that are related to users. Allowing a security group access to a securable item in a security policy grants access to the users associated with the security group. | |
Spend Authorization (with Cash Advance), formerly known as Cash Advance/Travel or Expense Advance Request (TEAR) | Used to request a cash advance for expected out-of-pocket expenses. Since Spend Authorizations may be recorded for tracking purposes as well, users must select Cash Advance Requested when requesting cash advances. | |
Supervisory Organization | Foundational, hierarchical position-to-position structure. Departments can have multiple supervisory organizations (one per unique manager). Related to the Workday concept of "Cost Center"--Supervisory Organizations will help Yale more accurately reflect the way they operate in the Workday system. | |
Supplier, formerly known as Vendor | A supplier of goods and services to the University. Suppliers must be set up in Workday using the Supplier Request task. | |
Supplier Request, formerly known as Vendor Setup Request | Used for requesting new suppliers in Workday (all suppliers must be listed in Workday). This includes non-employees who need to be paid for services or reimbursed for expenses. | |
Supplier Invoice Request, formerly known as Check Request | Used to create a payment to a non-employee, such as a visiting speaker who is not a Yale faculty or staff member. May also be used for payments to students who are not also employees. | |
Target Hire Date | Field within Create Job Requisition business process. It is the earliest date on which a candidate can be hired based on the posting policy for university recruitment. | |
Tenant | Workday's term for a database instance, such as QA environment, Production, etc. | |
To-Dos | To-Dos are reminders to do something outside of the Workday system. They can be part of business processes, and have to be marked complete before the workflow will go to the next step. | |
Total Base Pay | Both Total Base Pay and Primary Compensation Basis will equal an employee's salary. You will not be able to edit these fields. | |
Total Compensation | Within the Pay Worklet, selecting Total Compensation allows you to view the breakdown of your salary, benefit costs and employer benefit contributions. | |
Worker | A person who is either an employee hired by a company or a contingent worker contracted by a company. | |
Workflow | In business software, workflow is application logic applied to a business process for the purpose of making it controlled, repeatable, secure, and easy to perform. Workflow defines who can perform each task and in what way, and provides a routing mechanism to “flow” the information and task execution from one user to another. | |
Worklet | A compact report displayed as an icon on the All About Me page, providing easy access to tasks and information you use on a regular basis. Examples are My Leadership Roles, My Expenses, My Reviews, My Goals, etc. | |
Worktag | Worktags classify transactions for financial, operational and external reporting. They can be assigned to any business event that generates a financial update such as a purchase requisition, expense report, time entry, journal entry, payroll transaction, etc. Some will be required while others will be optional. | |
W: Drive | This option will appear in your Workday drop-down menu if you have access to reports, and allows you to see your requested reports. |
